Position Description: 

St. Francis of Assisi Catholic School, a vibrant and energetic Catholic grade school in South County—“Passionately Catholic, in the pursuit of academic excellence…forming saints since 1927”—has an opening for School Secretary.

Position Summary:
The Secretary to the Principal provides secretarial, clerical and administrative support to the principal. The position enhances the principal’s effectiveness by providing information-management support and by representing the school administration to parents, students, vendors, and interested guests.

Duties & Responsibilities:
• Maintains confidentiality regarding all office operations
• Maintains attendance records in the database
• Answers incoming calls to the administration, ascertains the needs of the caller, and forward the calls to the proper staff member or voice mail
• Places orders for regular supplies and maintains inventory
• Orders supplies as needed by administration and approved orders from teachers
• Schedules building usage with parish staff
• Applies for federally funded reimbursements for professional development
• Receives bills; verifies receipt of product or service. Coordinates payment with rectory staff.
• Maintains school files, developing and utilizing file retrieval systems
• Ensure operation of all office equipment by troubleshooting malfunctions and overseeing the equipment service agreements and the inventory of supplies.
• Organizes and maintains copy room and office supply closet
• Helps facilitate school registration and admissions; first point of contact for interested families (tours, open house, etc.)
• Prepares mailings to school families
• Complete special assignments as requested by the administration
• Organizes parent forms including media permission, after event feedback, listening session input, etc.
• Routes office correspondence
• Liaison to parish staff regarding scheduling of building, time cards, etc.
• Other duties as assigned

Knowledge & Experience Requirements:
• Proficient in Microsoft Office Suite, with emphasis on Microsoft Word, Publisher and Excel
• Strong written and oral communications skills
• Previous office experience
• Administrative/organizational skills

• General knowledge and support of the Catholic Church, Catholic sacraments, Catholic rites and liturgies
• Patience with the general public
• Have excellent oral communication skills
• Comfortable speaking with people over the telephone or in person

• Able to multi-task while maintaining a focus on details
• Able to work through frequent interruptions
