Position Description: 

The Archdiocese of Saint Louis has an opportunity for a part-time Bookkeeper/Data Coordinator. This position is part of the Respect Life Apostolate Office located at the Cardinal Rigali Center in Shrewsbury, MO. The Archdiocese is a non-profit organization which encompasses 180 parishes, 110 schools, over 90 offices/agencies and a Catholic population of more than 500,000. The Bookkeeper/Data Coordinator position is responsible for handling the accounts payable and accounts receivable for the Respect Life Apostolate (RLA). This position is also responsible for the general administrative tasks occurring throughout the course of a normal business day with an emphasis on phone inquiries, donation, credit card, and bank reconciliations. This position updates database(s) insuring that information is accurate and readily available for report generation.

Duties & Responsibilities:
1.) Maintain Constituent Database:
a. Enter donor information in Raiser’s Edge database
b. Acknowledge donor contributions and mail corresponding donor letters
c. Maintain records of parish totals for Lifeline Coalition and Friends for Life campaigns
2.) Compile and submit all cash and check deposits
3.) Code invoices and obtain approvals, process reimbursement requests, and check requests, with necessary receipts when required. Create and maintain backup copies for RLA files.

Annual Convention Responsibilities:
4.) Use Raiser’s Edge database (query) to send convention ad notifications and requests to previous Convention book advertisers based on past five years of advertiser data.
5.) Process ads and checks when submitted. Record all ad info in Excel and Raiser’s Edge
6.) Verify ad info is accurate (i.e. Pastor names, dates in ad, company graphic/logo, etc.)
7.) Send ad info to graphic designer for final layout approval prior to printing.
8.) Maintain all data of exhibitors relevant to annual Respect Life Convention.
9.) Maintain Lockbox including the proper entry of any donations sent to Lockbox and donation acknowledgements.

Knowledge & Experience Requirements:
Basic understanding of Microsoft Word and Excel. Knowledge of Raiser’s Edge preferred.

Skills & Attitudes Required for Success in Job:
The ideal candidate is detail-oriented, and possess intermediate level typing skills. Reliability, flexibility, and a team player attitude are keys to success for this position.
