Position Description: 

The Administrative Associate for the Catholic Student Center (CSC) at Washington University in St Louis will help drive the mission of the CSC by providing administrative and logistical support for two key areas: Advancement and Ministry. This role will have dual reporting to the Directors of Advancement and Campus Ministry and will work in collaboration with the broader CSC staff and community. This is a full-time position.

1. Provide Administrative Support for Director of Advancement and Advancement Team
• Schedule appointments, manage calendar and book travel for Director of Advancement.
• Prepare for Director of Advancement face to face meetings and manage correspondence and prepare materials for Advancement Council meetings.
• Prepare and send correspondence on behalf of Director of Advancement.

2. Manage the Production and Distribution timeline for all Development mailings and communications.
• Collaborate with Assistant Director of Advancement and Events Coordinator to obtain written content and with Director of Advancement for editorial oversight.
• Maintain Development calendar and provide regular updates on status of production timeline.

3. Provide Ministry Team and Event Support
• Schedule appointments, manage calendar and provide dictation and file support for Director of Ministry.
• Assist with Ministry team administrative support (copies, scheduling, etc.)
• Oversee Ministry event logistics

4. Recruit / Coordinate Volunteer Participation for various Development and Ministry events

5. Provide Business Operations Support in partnership with CSC Administrative Assistant (provide back up phone support and calendar management for Father Gary).

6. Other duties as assigned.

• Excellent interpersonal skills, strong problem solving, organizational and multi-tasking skills.
• Maintains the highest sensitivity to professional ethics and diversity, treating all people equally and respectfully.
• Experienced administrative support for leadership team members.
• Collaborative yet able to work independently and exercise good judgment in a variety of situations including time sensitive or high pressure situations.
• Highly detail oriented. Excellent verbal and written communication skills.
• Proficient in MS Office programs.
• Database maintenance experience and general software fluency required. Willing to learn new software, as needed.
